The personal data that we process.

Sofatech BVBA processes your personal data because you use our services and/or because you provide them to us yourself. Below you will find an overview of the personal data that we process:

• First and last name
• Phone
• email
• IP adress
• Data obtained through our monitoring system and the monitoring of our customers' networks.
• Other personal data that you actively provide, for example, by creating a profile on this website, in correspondence, and over the phone.

Sofatech BVBA exclusively operates in a Business-to-Business (B2B) capacity, and we do not provide services to individuals (private consumers). The data that we process under our responsibility consists of information about employees or contact persons of our customers. Our customers are always businesses. The only exception to this is data of individuals who subscribe to our newsletter.

A significant portion of the data is stored in our CRM system. Additionally, this data may also be stored in our email system for direct marketing purposes.

Special and/or sensitive personal data that we process.

Our website and/or service does not intend to collect data about website visitors who are under 18 years old, unless they have permission from parents or guardians. However, we cannot verify whether a visitor is over 18. Therefore, we recommend that parents be involved in their children’s online activities to prevent data from being collected about children without parental consent. If you believe that we have collected personal data about a minor without such consent, please contact us at gdpr@sofatech.be, and we will delete this information.

For what purpose and on what basis we process personal data

Sofatech BVBA processes your personal data for the following purposes:

• Sending our newsletter and/or promotional materials
• To be able to call or email you if necessary to perform our services
• To inform you about changes to our services and products
• To provide you with the opportunity to create an account - To deliver goods and services to you
• Sofatech BVBA also processes personal data when we are legally obligated to do so, such as data necessary for our tax returns

Automated decision-making

Sofatech BVBA does not make decisions with (significant) consequences for individuals based on automated processing. These are decisions made by computer programs or systems without human intervention (e.g., a Sofatech BVBA employee).

How long we retain personal data.

Sofatech BVBA does not retain your personal data longer than strictly necessary to achieve the purposes for which your data is collected or as required by law.

Sofatech BVBA does not sell your data to third parties and only provides it if necessary for the execution of our agreement with you or to comply with a legal obligation. We enter into a data processing agreement with companies that process your data on our behalf to ensure the same level of security and confidentiality of your data. Sofatech BVBA remains responsible for these processing operations.

Sofatech BVBA only uses technical and functional cookies, as well as analytical cookies that do not infringe upon your privacy. The cookies we use are necessary for the technical functioning of the website and for your convenience. They ensure that the website works properly and remember your preferences, for example. They also allow us to optimize our website. You can opt out of cookies by configuring your internet browser not to store cookies anymore. Additionally, you can also delete all information previously stored through your browser settings.

To view, modify, or delete data

You have the right to access, correct, or delete your personal data. Additionally, you have the right to withdraw your consent for data processing or object to the processing of your personal data by Sofatech BVBA, and you have the right to data portability. This means you can submit a request to us to send the personal data we have about you in a computer file to you or another organization specified by you. You can send a request for access, correction, deletion, data transfer of your personal data, or a request to withdraw your consent or object to the processing of your personal data to gdpr@sofatech.be. To ensure that the request for access was made by you, we ask you to send a copy of your identity document with the request. In this copy, please black out your passport photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number, and Citizen Service Number (BSN). This is to protect your privacy. We will respond to your request as soon as possible, but within four weeks. Sofatech BVBA also wants to inform you that you have the option to file a complaint with the national supervisory authority, the Data Protection Authority.

How we secure personal data

Sofatech BVBA takes the protection of your data seriously and implements appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure, and unauthorized alteration. Sofatech as the processor

Sofatech can also process data as a processor. This always occurs on behalf of a data controller. In this context, Sofatech does not determine the purpose or the means for processing the data of the data subject.
