‘We want people to really enjoy our flavoursome coffee,’ says Nicolas, one of the case managers, "that they can drink a second or third cup without needing a glass of water with it. Our roasting, unlike the big multinationals, is done slowly and carefully, so you can feel free to have a second or third cup."

They liked to see this focus on quality and experience translated into their service: easy ordering, clear information and less work for the customer. The second was crucial, Benjamin agrees.

More efficient sales and stronger customer loyalty

One of the biggest improvements? The speed and simplicity with which quotations are now created.

"Before, with our previous programme, it could take a while to get a quote out the door. Now it's five minutes, a few clicks, minimal adjustments and you have a nice quote. That makes a world of difference," it sounds. ‘We can switch faster and on-the-go, spend less time on administration which allows us to focus more on advice and customer contact.’

The webshop was also integrated into Odoo, which now eliminates duplicate input and errors. "Before, we had to manually copy data from orders. A typo, a wrong house number and a delivery already went wrong. Now everything is linked: from order to invoice and stock management."


Service with a personal touch

Above all, Grandmothers Coffee wants to unburden. Not only with products of the best quality, but also with service that is just as good. Customers can count on a regular follow-up: by phone, email or automatically via the platform. "We make sure our customers never run out of coffee. That is our promise. Odoo lets us deliver on that promise even better."

For the customer, this means a smoother experience, giving the team more space to really focus on relationship management. "We notice that our employees now have time for that extra chat, to advise, to suggest something new... And that is valuable for us. After all, we are and remain a family business. That human touch should not be lost in digitalisation."


Digital steps, at the right time

The move to a new system came at a logical time: a combination of growth, a renovation with a retail space and the entry of Benjamin,

who brought with him a piece of rejuvenation and renewal. "Then you feel: this is the moment to rethink the way we work. And honestly: you often think you are working logically ... until someone from outside, a new employee, dares to question things. That helped us to simplify our system, to make processes simpler."

The implementation was not without its challenges. Some things had grown organically over the years and suddenly putting that into a system proved not always obvious, but the click with Sofatech proved decisive. "They were right behind our feathers. Not pushy, but proactive. That's what you want from an IT partner: someone who thinks along, dares to name things, adjusts where necessary and doesn't keep you waiting."


Odoo as a future-oriented choice

Grandmothers Coffee looked at several packages at the time, but remains convinced of their choice of Odoo. "It grows with your business. Updates bring real improvements every time, being able to send invoices via Peppol is very important at the moment. And the fact that we can make small adjustments ourselves provides the necessary flexibility."
